Position Summary

Fleet Transportation Specialist will assist with new vehicle paperwork, titling, registration, data entry into fleet management software, support to field personnel regarding: equipment moves, unit specification in fleet management system, any and all forms of assistance to fleet management software; and maintain equipment maintenance and certification files. 

Duties & Responsibilities

  • Responsible for maintaining, monitoring and managing vehicle assignment information in Fleet database
  • Set up and manage filing systems regarding vehicles
  • Perform periodic vehicle inventory and maintain accuracy
  • Provide guidance, define and communicate policies and procedures to internal customers. Insure deadlines are met
  • Respond to correspondence (phone, email, etc.) with a high degree of accuracy and timeliness
  • Work with Excel: V lookups; formulas; references; data entry; pivot tables (a plus) and writing macros (a plus); generating scheduled and ad-hoc reports and spreadsheets daily
  • Provide the highest level of support to the branch operations by working as a team, with a service-oriented positive attitude, flexibility, open communication and interest in learning 
  • Ability to multitask, meet deadlines, as well as take on additional responsibilities as assigned
  • Needs to be organized, detail oriented, a problem solver and be highly accountable.
  • Collect and analyze monthly mileage logs and maintenance records to ensure preventive maintenance reporting metrics are accurate and is complete
  • Monitor/communicate fleet reporting
  • Ability to show judgment and initiative to accomplish job duties
  • Perform other duties as requested by supervisor
  • Support local staff as needed

Typical Minimum Education & Experience

  • High school diploma or general education degree (GED); 
  • 1+ years related experience a plus
  • Must be able to communicate fluently in English
  • Experience in Microsoft Office Suite
  • Strong attention to detail a must
  • Experience with Dossier Fleet Management software a plus
  • Ability to prioritize and organize effectively
  • Experience with SAP software a plus
  • Experience OmniTracs software a plus

Environmental Requirements

  • This position requires working in an office setting, with long periods of time sitting
  • Must be able to stand, bend, push and pull at least up to 10 lbs
