Job Objective

The Inventory Specialist is responsible for ordering, maintaining and reconciling lubricant, chemical and miscellaneous product inventories.  Responsibilities also include ordering non-inventory/company use products as requested. 

Job Functions

The following are essential job functions:

  • Order all resale and consigned products using MAS Purchase order module. Order Company-use products using COUPA software.
  • Schedule all pick up times and carriers for incoming products. Communicate with dispatch if our truck is carrier. Communicate with terminal personnel regarding delivery date/time at facility. 
  • Maintain bulk and package inventory. Manage min/max for all inventory items.
  • Enter daily receipts, packing slips and products transfers into computer system.
  • Confirm inventory and delivery status for consigned customers in their portals; Manta-BP and EWave-Chevron Marine.
  • Manage all month end closing procedures for non-fuel inventory including physical inventory, bulk lube tank reconciliation and monthly gallon age accruals.
  • Prepare monthly inventory reports, after count and reconciliation, to consigned customers.
  • Point of contact for customers with lubricant/chem/misc orders. Provide customers with availability and pricing when requested.  Enter sales orders in MAS.
  • Coordinate all outbound stock transfers of consigned products.

Job Specifications

Skills Required:

  • Able to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. 
  • Able to write routine reports and correspondence.
  • Able to speak effectively before groups of customers or employees.
  • Able to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.  Able to apply concepts of basic algebra and geometry.
  • Able to define problems, collect data, establish facts, and draw valid conclusions.  Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Working Conditions:

  • Heavy physical effort (up to 50 pounds).

 Physical Demands:

  • Hearing, talking, walking, periods of prolonged sittings.

 Supervision Exercised:

  • No formal supervisory responsibility.

 Supervision Received:

  • Must be able to function independently and work with minimal supervision.

 Minimum Education:

  • High school diploma or GED.
  • Associate's Degree preferred.

 Minimum Experience:

  • 5+ years of progressively responsible experience in similar role.
