Position Summary

Performs all activities necessary to process multiple payrolls per month, including maintaining related records, filing tax reports and voluntary deduction reports, processing involuntary deductions such as levies and garnishments, preparing accounting transactions and documents, documenting and updating procedures, preparing special reports for management and lead the payroll team.

 

Dutie & Responsibilties

  • Provide leadership support to our payroll team to ensure compliance with all applicable laws and policies
  • Assist in the development of the payroll department's objectives and operational procedures, including process documentation review and implementation
  • Review payroll audit reports to detect and reconcile payroll discrepancies, job profile structure and special pay program compliance within Workday
  • Research/interpret complex payroll issues and provide guidance to both management and Human Resources
  • Prepare data comparisons related to the interface between Workday and SAP to ensure accurate GAAP reporting
  • Provide reports or analysis requested by management and other departments
  • Verify weekly payroll data in Workday is accurate and adheres to current policies and procedures related to various pay programs
  • Working knowledge of multi-state payroll laws and tax guidelines, including the ability to research and verify specific tax filings and corrections. Provide internal support to 3rd party vendor to ensure accurate and timely tax filing and reporting
  • Process and issue employee paychecks and statements of earnings and deductions
  • Recordemployee information, such as exemptions, transfers, and resignations, to maintain and update payroll records
  • Issue and record adjustments to pay related to previous errors or retroactive increases
  • Manage the employee pay card program including issuing cards, monitoring account balances and providing employee related support
  • Provide information to employees and managers on payroll matters, tax issues, and collective agreement provisions
  • Execute quarterly W2 balancing and estimated tax reporting to ensure accurate reporting and filing information
  • Provide excellent customer support to our employees, as well as develop and maintain relationships with operational teams
  • Develop and maintain essential working relationships with human resources to ensure a collaborative team environment
  • Support the corporate accounting group with reconciliations, audit requests and other miscellaneous projects
  • Provide process improvement recommendations in relation to our core payroll workflows and procedures
  • Performs other ad hoc duties as assigned

 

Typical Minimum Education & Experience

  • Minimum of 3 to 5 years of payroll processing experience for a multi-state employer with multiple locations
  • Ability to effectively communicate with all levels of the organization
  • Must have some experience with multi-state and federal wage and tax laws and overtime requirements
  • Ability to multi-task and keep organized records
  • Payroll related benefits administration which includes transmission of 401k contributions, census reports, health insurance billing reconciliation and other related tasks
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records and other office procedures and terminology
  • Intermediate to advanced proficiency in Excel, Word and Outlook
  • Preferred 1-3 years of experience with Workday
